Work with Underwriter when reviewing risks submitted by Producers, rate submissions for premium and terms, issue written binders. Review indications, quotes, binders, submissions and policies for completeness and high degree of accuracy. Careful review of inspections used to obtain underwriting information, quote rates, or adherence to company underwriting guidelines. Work with the Underwriter to be sure the forms on the policies are the current edition dates used by each Company. Telephone assistance. This duty involves the ability to answer basic questions a Producer may have. If the question is too involved, refer the Producer to an Underwriter, who can help. Performs other duties as assigned. Patient Check-In • Check patient in through EMR (Athena) • Ensure all demographic information is correct • Accurately collect data for weekly and monthly reports if applicable • Check portal status (email on file) • Collect co-pay/sliding fee from patient and outstanding balances Patient Check-Out • Check patient out of EMR (Athena) upon end of office visit • Ensure each patient has a follow-up appointment scheduled • Check portal status (email on file) Review of Provider's Schedules • Print and review your provider's schedule weekly to ensure template is accurate and patients are scheduled appropriately • immediately notify Operations Manager of any schedule discrepancies for correction • Schedules and End of Day Report must be signed by PAR and emailed to Operations Manager by close of business (5pm) daily Reminder Calls • PAR will contact patients daily to remind them of upcoming appointment • PAR will remind patients of appointment time, provider scheduled, co-payments/sliding fee and any outstanding balances • Verify patient insurance eligibility and be sure it is uploaded into patient's chart No-Shows • Contact and reschedule all No Shows • Make 3 documented attempts to contact patient and reschedule appointment Voicemail Messages • PAR will retrieve all voicemail messages in a reasonable timeframe and always by the close of business (5pm) daily Task Buckets Workflow Dashboard No- Shows Eligibility Appointments to Reschedule Appointments to Schedule (if patient has already been contacted, please delete from workflow dashboard)

Position Overview The Patient Relations Coordinator is responsible for managing patient interactions, including answering multi-line phone calls, scheduling appointments, verifying insurance eligibility, and collecting co-pays. This role also assists with medical records, coordinates physician schedules, and ensures accurate documentation in the Electronic Medical Records (EMR) system. Additionally, the coordinator performs general office and receptionist duties, contributing to an efficient and welcoming healthcare environment. Essential Job Functions Provide professional telephone services, schedule appointments, and send reminders Greet and check in patients, assist with paperwork, and enter information into the EMR system Verify and update patient demographics and insurance eligibility, including obtaining prior referrals Process co-payments and track patient financial responsibilities Coordinate appointments with referring physicians and schedule follow-ups and physician-ordered tests Track and update physician schedules Obtain, scan, and attach medical records to patient charts Maintain the waiting room, ensure a welcoming environment, and prepare refreshments Make reminder calls for labs, follow-ups, and upcoming visits Generate daily clinical summaries and weekly demographic compliance reports Obtain and upload patient photos for charts Requirements: Required Associate’s or Bachelor’s Degree preferred Strong organization, time management, and attention to detail Excellent telephone etiquette and communication skills Professional, friendly, and confident interpersonal skills Knowledge of medical terminology and insurance verification processes Proficiency in Microsoft Office (Excel, Outlook, Word) and standard office equipment Preferred Medical office experience Prior experience working in a medical office Experience with multi-line phone systems and Electronic Medical Records (EMRs) Bilingual proficiency is a plus Knowledge of Insurance verification Hours: Generally, Monday - Friday 8:30am-5:00pm
