*ABOUT THE ROLE* Bold City is a Jacksonville commercial real estate owner-operator and property management company. We are hiring a detail-obsessed property accountant to own the day-to-day accounting for two related businesses: a third-party management portfolio of 30 properties across 25 ownership groups, and our own commercial portfolio of roughly 96 units. Plenty of people can keep books. We need someone who already knows how to run reconciliations, owner draws, and AP inside Buildium and can hit the ground running. This is not a data-entry seat. You are the person who closes the books for both companies, protects trust funds, bills the company's revenue, and tells the owner when something doesn't tie. We're building toward a modern, AI-assisted accounting workflow, where much of the routine data entry, bill drafting, and reporting is supported by automated tools so more of your time goes to reviewing, verifying, and applying judgment. That raises the bar rather than lowering it: your job is to catch what the tools get wrong. We'll test that in the interview. If you like clean books and smart systems, you'll fit right in. *WHAT YOU'LL OWN* *Reconciliation and close* * Reconcile multiple operating, trust, and security-deposit bank accounts monthly in Buildium, clearing transactions and keeping consistent, audit-ready memos. * Deliver a complete month-end close on a published calendar, by the 10th business day. * Maintain proper trust accounting across owner, tenant, and operating funds, including security-deposit liability tracking under Florida law. *Accounts payable and disbursements* * Enter and code vendor bills to the correct property and GL account, determine owner vs. tenant responsibility, and attach supporting documentation to everything. * Run weekly disbursements across EFT, printed check, ACH auto-debit, and vendor portals. * Manage credit-card and debit-card reconciliation, pay-downs, and expense allocation across accounts and properties. * Maintain the recurring payment schedule, correcting placeholder amounts against actual invoices each month. *Management company revenue* * Bill management fees across properties on mixed flat-fee and percentage-of-income schedules, capturing every fee and markup before funds are released. * Bill maintenance markups, placement and leasing fees back to owners. * Verify that every managed property is billed every period — no property should ever go a month unbilled. *Owner accounting* * Owner draws and contributions on schedule. * Close owner ledgers and property financials accurately and on time so monthly owner reports are correct when generated — reports are automated in Buildium and distributed by our operations manager. * Track property reserves, set-asides, insurance payments, and property-tax obligations so nothing lapses. *Tenant and lease accounting* * Post tenant charges, apply payments and deposits, and keep tenant ledgers accurate. * Handle move-out and security-deposit accounting — final charges, deposit dispositions, and returns. * Serve as the financial point of contact for tenants, owners, and vendors: answer ledger and statement questions and resolve billing disputes. Proactive collection calls are handled by our operations team. *Ownership portfolio accounting* * Monthly depreciation and amortization schedules by property. * Debt service across multiple mortgages, splitting each payment between principal and interest. * Inter-entity accounting between the two companies, including due-to / due-from balances. *Compliance and year-end* * Collect W-9s, maintain the vendor file, and prepare and e-file 1099s. * Support the outside CPA at year end. *HOW THIS ROLE IS CONTROLLED* We are building real separation of duties into this seat. These are not optional and they are not a comment on you — they exist because no single person should both move money and sign off on it. * All electronic disbursements route through owner approval in Buildium before release. * Late fee waivers, credits, and charge reversals require written owner approval and a documented reason on the reversal. No exceptions. * Bank reconciliations are reviewed and signed off by the owner or the outside CPA. * You will work from a company email address. *WHAT WE'RE LOOKING FOR* * *Hands-on Buildium experience is required. *You've reconciled accounts, run owner draws, and managed AP inside Buildium. This is the single most important qualification. * 2+ years of full-cycle bookkeeping or accounting in property management, real estate, or another trust-accounting environment. * Strong grasp of bank reconciliation, accounts payable, and property-management trust accounting. * Comfort with depreciation schedules, loan amortization, and books for more than one entity. * Comfortable working in an AI-assisted environment. Experience with Claude or Cowork is a plus, but hands-on experience with any AI platform, and the judgment to catch what it gets wrong, is what matters. * Strong Excel — you should be comfortable building and auditing a fee calculation worksheet, not just filling one in. * Comfortable being tenant- and owner-facing, with clear, professional written and phone communication. * Meticulous documentation habits and real care about accuracy. * Discreet and trustworthy with sensitive financial information. * A degree in accounting, finance, or business is a plus, but not required — hands-on experience is what matters here. *NICE TO HAVE* * Commercial CAM / OPEX reconciliation experience — not part of this role today, but a plus. * Trust accounting and audit experience. * 1099 filing and W-9 collection experience. * Familiarity with other AI and automation tools. * Experience cleaning up a set of books you inherited. *YOU'LL DO WELL HERE IF* * You like owning a function end to end rather than one slice of it. * You document what you do, so the next person isn't reverse-engineering your work. * You raise issues early and bring a recommendation with them. * You're comfortable telling the owner something is wrong. *FIRST 90 DAYS* * *Days 1–30: *Close one full month under supervision. Learn both portfolios, the fee schedules, and the owner reporting package. * *Days 31–60: *Close independently. Document the month-end process as a written SOP. * *Days 61–90: *Automate what should be automated, clean the vendor and W-9 file ahead of 1099 season, bring the AP queue current, and begin clearing the reconciliation backlog on the ownership portfolio. *DETAILS* * Full-time, based at our Jacksonville office.
